Shirley Heinze Land Trust (SHLT) protects and manages 4,000 acres in Lake, Porter, LaPorte, St. Joseph, Marshall, and Starke Counties in northwestern Indiana and engages communities in conservation and nature. SHLT is seeking an energetic, self-motivated and detail-oriented Administrative Assistant to support recordkeeping, payroll, bookkeeping, and filing. This position reports directly to the Deputy Director, and collaborates with staff, volunteers, and the Board of Directors. This is a part-time hourly position with a range of $20-$24/hr based in accordance with candidate experience and expertise.
Duties & Responsibilities:
• Prepare and present timely, accurate financial reports and analyses to the Executive Director, Deputy Director, Finance Committee, and Board.
• Ensure compliance with all financial, legal, regulatory, and accreditation standards specific to land trusts.
• Oversee day-to-day financial operations, including accounts payable, accounts receivable, payroll, and grant management.
• Manage the timely and accurate completion of audits and tax filings.
• Ensure appropriate systems and processes are in place for accurate tracking of revenue and expenses, especially restricted funds and endowments.
• Maintain files as outlined in the Records Retention Policy.
• Maintain human resource files and assist with new hire orientation.
• Process incoming and outgoing mail; route mail to staff as appropriate.
• Screen and direct phone calls and emails as needed.
• Assist Conservation Program with filing, organizing and maintaining land records.
• Provide operational and administrative support to the staff and Board.
• Assist with other projects, as needed.

Qualifications:
• Bachelor’s degree in finance, accounting, business administration, or related field preferred.
• Minimum of 2 years’ professional experience in bookkeeping and administrative work.
• Strong knowledge of QuickBooks and familiarity with Generally Accepted Accounting Principles (GAAP) preferred.
• Familiarity with land trust accreditation standards, grant management, and compliance preferred.
• High degree of integrity, transparency, and commitment to conservation values.
• Valid driver’s license.
• Minimum of 2 years’ professional experience in bookkeeping and administrative work.

Work Location and Environment:
SHLT offices are located at Meadowbrook Nature Preserve (109 W 700 North, Valparaiso, IN 46385). This position is in-person with occasional weekend and evening work.
