Responsibilities
• Accepts and verifies building, sub and miscellaneous permit applications.
• Processes approved permit applications, notifying applicants of permit fee amount due and payment process.
• In the absence of the Building/Planning Director, releases approved permit applications, calculates permit valuations or applies established fees, processes applications, signs and initials Certificate of Occupancy application forms, and completes permit placards as required.
• Answers telephone and greets office visitors, providing information and assistance, taking messages, scheduling appointments or directing callers to appropriate individual or department.
• Provides assistance as needed with contractors, residents, & visitors for other departments within the city.
• Schedules, coordinates, and communicates with Building/Planning Director and Building Inspector all daily inspections.
• Directs complaints and code inquiries to Building/Planning Director, Inspectors (Building or Code Enforcement), or appropriate City departments.
• Performs various clerical functions including, but not limited to, opening and sorting department faxes, electronic mail, scanning signed documents into Laserfiche, typing documents, preparing various permits, correspondence, and maintaining different trade permits.
• Assists contractor registration with licensing as needed including explaining requirements and reviewing documents provided by contractors to ensure everything is complete.
• Attends meetings as required. Attends local and state training sessions as required to comply with state and federal requirements.
• Performs related duties as assigned.
• Incumbent performs a variety of clerical, administrative, and bookkeeping tasks according to established operating policies and practices of the department. Incumbent exercises discretion in selecting the proper methods and procedures to apply to operations and tasks. Assignments and objectives are set jointly by supervisor, with work periodically reviewed upon completion of specific duties. Errors in work are usually prevented through procedural safeguards and are detected through standard bookkeeping checks or supervisory review. Undetected errors may result in loss of time to correct error, and/or work delays to co-workers, other departments/agencies, or the public.
